Technology has enabled us to do things faster than ever before. In our day-to-day lives this means everything we need is instantly at our fingertips and as technology progresses, this will undoubtedly speed up even more.
While this is useful, especially for the time-poor, it is extremely beneficial for businesses, particularly in terms of productivity.
This technology can cut out a lot of the necessary but incredibly time-consuming tasks, which will leave you with more time to work on the projects that really make a difference and help your company to grow.
Here are our five tips to help accelerate business productivity:
1. Take advantage of video conferencing
We can spend hours traveling to meetings that are shorter than the journey to get there. While it is possible to do some work on the way if you’re traveling by train, you are unlikely to get as much done as you would in the office.
Cut out this travel time by having a video conference instead. You still get the personal element that comes from chatting face-to-face rather than over the phone or by email, but from the comfort of your own office and without the lengthy commute. This is also useful when conducting business overseas.
Likewise, this can be used for remote workers, to enable them to participate in meetings and collaborate with colleagues from wherever they are in the world. This will avoid them feeling isolated and help to increase camaraderie, which can only improve productivity.
2. Use project management software
You need your projects to be clear and streamlined especially when several teams are working on the same one. Project management software will avoid any confusion or issues as everyone is working together in one place.
The projects can be tracked, ideas can be shared and documents can be managed.
This will increase productivity because you won’t need to waste time finding out what is going on with a project, or separately discussing it with each person involved.
3. Use time tracking tools
How can you increase productivity if you don’t know how long tasks are taking? This can be used in conjunction with your project management software to enable your employees to log the time that they spend on a task. Others can also log time on here if they have participated.
At the end of each month, you can analyze this time and make any necessary changes. This might be when you notice the number of hours that are being logged traveling to and from meetings and from there discuss implementing video conferencing.
4. Make sure your employees have the technology they need.
This might seem obvious but cloud company Fuze found that 75% of young workers are not satisfied with the technology in their offices.
There is no point cutting corners when it comes to technology. If your employees are working on a slow computer with intermittent Wi-Fi access it will take them twice as long to get the job done.
Make sure they have what they need. This could be as simple as a laptop so they can continue working when they do have to travel or it could be something specific to their role that you have been trying to work around to save money.
It could be a significant cost to begin with it but you will make it back and more when it increases their productivity and they are getting double the work done.
5. Use technology to inspire your workforce
Adam Blaskey, chief executive and founder of The Clubhouse, a London-based mobile working space, believes video walls can inspire teams to think in new ways. He told The Telegraph: “We’ve installed a full-height, full-width interactive MT Canvas wall. People can write on it, collaborate, open browsers, and share ideas. We’ve seen it being adopted really nicely by some of the teams who use our space.”
Use technology to inspire teams to work together and collaborate. They will feel more inspired and therefore will be more productive.
Embrace – and take advantage of – this technology and you will increase productivity and subsequently grow your business.
